2. The personal information we collect
The information we collect depends on how you interact with us. In practice we collect the following through this website and our management services.
Enquiry and contact forms
Your name, email address, phone number, the type of enquiry you have selected and the content of your message.
Rental appraisal requests
Your name, mobile number, email address, preferred contact method and time, the property address, whether you are the owner (and if not, your relationship to the owner and the owner's contact details), property attributes and condition, whether the property is currently tenanted, the current rent and lease end date, any known issues, your preferred outcome and whether you have opted in to receive market updates.
Owner onboarding
If you appoint us to manage a property, we collect the information needed to do so, including your ownership structure (personal, company or trust) and associated entity details, bank account details for rental disbursements, insurance policy information, details of any existing tenancy, your instructions and preferences, and documents you upload to us (for example ownership, insurance and compliance documents).
Tenant and maintenance flows
Requests for tenancy application forms (name, phone, email and the property you are interested in), tenancy application documents you or your agent upload to us as PDFs, and maintenance requests including your name, the property address, the urgency and type of issue and your description of it.
Where a tenancy application document is uploaded to us, it is automatically processed to extract the application details from it — including the applicant's name and date of birth, occupation, employer and income summary, affordability, current address, number of dependants, pets, and any reference or rental payment history concerns noted in the document. This processing involves an overseas disclosure, which is explained in sections 5, 6 and 7 below.
If we check a tenancy database as part of assessing an application, we will tell you which database we used, as required by the Residential Tenancies and Rooming Accommodation Act 2008 (Qld).
Website chatbot
The content of your conversation with our AI assistant, together with any name, email address and phone number you provide during that conversation.
Website analytics
We use Google Analytics, which collects usage information such as the pages you visit, approximate location, device and browser information and interactions with our calculators and forms, using cookies and similar technologies. You can block or delete cookies in your browser settings, though parts of the site may not work as intended.
We do not seek sensitive information (such as health information) through this website. If sensitive information is ever needed as part of a tenancy or management matter, we will explain why and seek your consent.
3. Why we collect it and how we use it
- To respond to your enquiry and provide the information you have asked for.
- To prepare rental appraisals and management proposals.
- To onboard and manage your property, including preparing appointment documents (such as a Form 6), collecting rent and disbursing funds to your nominated account.
- To process and assess tenancy applications, coordinate maintenance and manage tenancies.
- To keep records we are required by law to keep, and to meet legal, trust accounting, tax and regulatory obligations.
- To improve our website and services.
- To send you market updates and property insights where you have opted in — you can opt out at any time by using the unsubscribe link or contacting us.
4. If you choose not to provide information
You do not have to give us your personal information, but if you don't we may not be able to help. Without contact details we cannot respond to an enquiry; without the property details we cannot prepare an appraisal; without bank account, ownership and insurance details we cannot lawfully manage a property or disburse rent to you; and without application information a tenancy application cannot be assessed. Where you can deal with us anonymously or by pseudonym (for example a general question by phone), we will let you do so.
5. Who we disclose your information to
We disclose personal information to the service providers we use to run our business and, where necessary, to property owners, tenants, tradespeople, insurers, trust account auditors, government agencies and tribunals (including the Residential Tenancies Authority and QCAT), and to our professional advisers. Our key technology and service providers are:
- Supabase — database hosting, file storage and backend functions that store form submissions, onboarding records and uploaded documents.
- Resend — delivery of transactional and notification emails.
- Google Analytics — website usage analytics.
- Lovable AI Gateway and Google (Gemini) — we use a third-party artificial intelligence model, accessed through the Lovable AI Gateway, for two purposes. First, our website chatbot sends your conversation, including any contact details you provide in it, to that model so it can generate a reply. Second, and more significantly, tenancy application documents uploaded to us are transmitted in full to that model so the application details can be extracted automatically — this means the complete contents of the application document, including identity details such as name and date of birth, employment and employer details, income and affordability information, current address, household and pet details, and reference or rental payment history information, are disclosed to that AI provider. Property reports uploaded during owner onboarding are processed the same way, which discloses the owner and property details in those reports (including owner or company name, ACN or ABN, title reference and sale and rental history).
- Firecrawl — used by our staff to retrieve publicly available property listing and suburb market data from real estate websites. We do not send your personal information to this service.
- PropertyTree (MRI Software) — the owner and tenant portal linked from this website, used for tenancy, maintenance and financial records.
We do not sell your personal information, and we do not disclose it for unrelated direct marketing by other organisations.
6. Overseas disclosure (APP 8)
Some of the providers above store or process personal information outside Australia, or may do so through their global infrastructure. In particular, the following are overseas disclosures:
- Tenancy application documents. When an application document is uploaded to us, the document is sent in full to an AI model operated overseas by Google through the Lovable AI Gateway so the application details can be extracted. This discloses all the personal information contained in that document, including identity, employment, income and reference information, and may include information about other people named in the application such as co-applicants, dependants and referees.
- Owner property reports. Property reports uploaded during owner onboarding are sent to the same overseas AI model to extract the owner and property details.
- Chatbot conversations. Your messages, and any contact details you provide in them, are sent to the same overseas AI model so it can generate a reply.
- Website analytics. Google Analytics data is processed overseas, including in the United States.
You should be aware that avoiding the chatbot does not avoid overseas disclosure if you are applying for a tenancy: application documents are processed this way as part of our normal application handling. If you are an applicant and you do not wish your application to be processed by an overseas AI model, please contact us before submitting your application and we will discuss an alternative. If you ask us to, a staff member will enter your application details manually instead, and your application document will not be sent to the AI model.
These providers may store or process information in countries including the United States and other countries where they or their sub-processors operate. Where practicable we choose Australian or nearby hosting regions.
7. Automated processing, AI and automated decisions
We use artificial intelligence in two places: our website chatbot, which generates replies to your questions, and the automatic extraction of details from documents uploaded to us (tenancy application documents and owner property reports). The third-party providers involved and the overseas disclosure this creates are described in sections 5 and 6.
Extracted information is only ever a starting point. Where data is extracted from a tenancy application document, it is presented to a staff member for review and must be expressly confirmed by that staff member before it is used to populate an application record. A staff member reviews the application, and the supporting documents, before any recommendation or decision is made.
No decision about a tenancy application, a tenancy, or any other matter affecting you is made solely by automated means. AI is used to save re-typing and to draft material; the assessment and the decision are made by people, and the property owner makes the final decision on any tenancy application.
If you are an applicant, you can ask us how your information was handled, what was extracted from your application and who reviewed it. Contact our privacy contact above and we will explain the process and provide access in accordance with section 9 below.
We do not use computer programs to make decisions that could significantly affect your rights or interests, whether on their own or as the main basis for a decision made by a person. If that changes, we will update this policy before we start, to describe the kinds of personal information used and the kinds of decisions involved.
8. Security and storage
Personal information is held in access-controlled cloud systems. Our database enforces row-level security, staff and administrative areas of this website require authentication, uploaded documents are stored in private (non-public) storage and are only ever served through short-lived, individually generated access links, and information sent between your browser and our systems is encrypted in transit.
Uploaded tenancy application documents are handled with additional controls. They are stored in a private storage bucket that is not publicly accessible, they are written using a single-use signed upload link generated by our backend for that one upload, and the document file is deleted from storage immediately after the application details have been extracted from it. The extracted details are retained as part of the application record.
No system is completely secure. We take reasonable steps to protect personal information from misuse, interference, loss and unauthorised access, modification or disclosure, and we will respond to any eligible data breach in accordance with the Notifiable Data Breaches scheme.
We keep personal information only for as long as we need it or are required to keep it by law (for example real estate and trust accounting record-keeping obligations), after which we take reasonable steps to destroy or de-identify it. We generally keep records for at least five years after a management agreement or tenancy ends, or longer where the law requires, to meet Queensland trust accounting, real estate and tax record-keeping obligations.
9. Accessing and correcting your information
Under APP 12 and APP 13 you may ask us for access to the personal information we hold about you, and ask us to correct it if it is inaccurate, out of date, incomplete, irrelevant or misleading. Please contact our privacy contact above. We will ask you to verify your identity and will respond within a reasonable period, usually within 30 days. Access is free, although we may charge a reasonable cost for retrieving or copying large volumes of records. If we refuse access or a correction, we will tell you why in writing and how you can complain.
10. Complaints
If you believe we have breached the Australian Privacy Principles, please contact us first at claire@street.management or by phone on 0423 422 708 (Privacy Officer), setting out what happened. We will acknowledge your complaint and aim to respond within 30 days.
If you are not satisfied with our response, you can escalate your complaint to the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au or by phone on 1300 363 992.
11. Changes to this policy
We may update this policy from time to time to reflect changes in our services, systems or legal obligations. The current version is always available on this page with its "last updated" date. Where changes are significant, we will take reasonable steps to notify affected clients directly.
